Overview

JOB SUMMARY

The IT Purchasing Inventory Asset Admin is an ITAM/Procurement team member responsible for fulfilling technology requests for internal customers in a timely manner. This role will work with vendors, the Finance Team, and the IT Team to provide advice and purchase hardware inventory and software licenses for delivery to internal customers in our company.

 

Essential Functions and Responsibilities

  • Manage internal user equipment requests.
    • Track the requests to completion using ITSM tool, Freshservice.
    • Fulfill requests from inventory or purchasing from vendor.
    • Communicate order status with internal customers.
  • Work with internal customers to help them decide which predefined offering meets their needs.
  • Work with vendors to get quotes on various IT related hardware and software.
    • Process Return Merchandise Authorizations (RMA) request for damaged, incorrect, or unneeded.
  • Issue POs to vendors for Hardware, Software, Services of Work, and Licensing Renewals.
    • Manage/update purchase order status and transfer orders as needed.
  • Purchase inventory and maintain stock levels to an optimal count for quick customer fulfillment.
    • Maintain stock level of shipping supplies (Boxes, bubble wrap, tape)
  • Ensure order delivery to internal customers.
    • Hand deliver packages to local internal customers
    • Track order fulfillment if drop shipped to a remote site.
  • Create shipping labels for outgoing packages to ship to recipients and fulfill orders.
  • Provide tracking information and/or estimated time of arrival.
  • Create order receipts upon fulfillment within ERP system once order arrives onsite.
  • Reclaim assets from employees (locally or remotely) that are no longer in use or are out of warranty and damaged.
    • Create Return shipping labels for employees returning hardware.
    • Submit device retirement requests to eradicate asset information from active directory, Intune, and ITAM tracking system.
    • Decommission returned assets that are damaged or at end-of-life.
  • Maintain clean shipping area.
  • Conduct monthly cycle counts to keep track of physical inventory.
  • Continuously find ways to improve current processes.
  • Create documentation as needed for any new or changed project or technology.
  • All other duties as assigned.

Qualifications

Knowledge, Skills, and Experience

  • Certification in IT Asset Management (CSAM, CMAM, CHAMP) is preferred.
  • 1+ Years Experience in both [Infrastructure/Client Support/Service Desk] and Purchasing.
  • Exposure to ITIL 4 framework is preferred.
